Finance – Claim verifier for general reimbursement, local and overseas conference claims

  • Verify online submission and supporting documents
  • Allocate the source for the claims
  • Process documentation for submission to Office of Finance
  • Liaise with staff and students on the reimbursement
  • Archive details of invoices

Leave – Academic, Research, Admin/Lab staff

  • Input leave approver for new staff
  • Update/monitor leave on SAP system
  • Liaise with HR on leave policy

Office Equipment and Infrastructure

  • Ensure that office equipment are in order
  • Request and set-up room for new faculty staff

Visitor Administration

  • Application of temporary pass for interns and visitors


  • Arrange itinerary and logistics for department visitors
  • Maintaining Dept IT Account
  • Assist in events (Commencement, Retreat, Dept Meetings, Dept Seminars)
  • Counter and mailing duties
  • Assist in adhoc assignments


  • Diploma or its equivalent with working experience
  • Possess organisational skills, proactive, able to work independently and as a team
  • Ability to multitask and work under pressure
  • Good written and communication skills
  • Proficient in Microsoft Office and Outlook
